iForest Program Terms & Conditions

iForest programs are designed to provide children with meaningful outdoor experiences that encourage curiosity, independence, and connection with nature. The following Terms & Conditions outline safety expectations, program policies, and administrative procedures.
By registering for an iForest program, parents and guardians confirm that they have read, understood, and agreed to these Terms & Conditions.
These policies apply to all iForest programs including:
- Seasonal School (Fall, Winter, Spring, Summer)

Payment
- Full payment is required to secure participation in any iForest program.

Payment Deadlines

Payment must be completed within 7 days of booking and no later than 60 days before the program start date or immediately after booking.
artForest
Payment must be completed 14 days before the session date or immediately after booking.
Retreat Programs
Payment must be completed 30 days before the retreat start date or immediately after booking.

• 45 days or more before the program: Full refund
• 44–30 days before the program: 50% refund
• 29 days or fewer before the program: No refund

Retreat Programs
• 31 days or more before the retreat: Full refund

Weather
iForest operates outdoors in most weather conditions. Programs may be modified or cancelled if safety concerns arise.
Insurance
Participants are covered by group accident insurance during official program hours.
Nature-Based Activities
Children may use tools, explore natural terrain, and participate in outdoor activities that involve manageable risk as part of the iForest learning philosophy.
Attendance and Program Fit
Participants are expected to follow safety instructions and group expectations. iForest reserves the right to remove or decline participants if the program is not an appropriate fit.
1. Philosophy of Outdoor Learning
iForest programs are grounded in the belief that children develop confidence, resilience, and awareness through meaningful experiences in nature. Outdoor environments naturally include manageable risks that support learning, independence, and responsible decision-making.
2. Safety and Risk Management
All iForest instructors are First Aid certified and carry a first aid kit. Staff conduct regular environmental risk assessments and adjust activities as conditions change.
Nature-based activities may include:
- Use of tools such as knives, saws, and fire steels
- Playing near shallow water
- Building and attending fires
- Navigating uneven terrain including mud, rocks, and slippery surfaces
Participation in outdoor environments may involve minor injuries, insect bites, falls, or exposure to changing weather conditions.
iForest staff supervise children and support them in learning how to manage these risks responsibly.
3. Assumption of Risk and Liability
By enrolling a child in an iForest program, parents acknowledge that outdoor education involves inherent risks.
Parents agree to release and hold harmless iForest, its staff, contractors, and affiliates from claims, injuries, or losses arising from participation in program activities, except in cases of proven negligence.
This agreement applies to all dates a child participates in iForest programs.
4. Insurance
All registered participants are covered under a Group Event Participant Accident Insurance policy during official program hours.
This policy provides supplemental coverage for accidental injuries occurring during scheduled activities, including benefits related to hospitalization and outpatient treatment.
This insurance does not replace personal health insurance.
iForest also maintains liability insurance in the unlikely event that the organization is found legally responsible for an incident.
5. Payment
Full payment is required to secure participation in any iForest program.
Payment is accepted by bank transfer only.
If payment is not received by the stated deadline, iForest reserves the right to cancel the booking and release the place to another participant.
6. Cancellation and Refund Policy
Refund eligibility is determined by the date written cancellation notice is received.
Refunds will not be issued if a participant:
- Does not attend the program
- Arrives after the program begins
- Leaves the program early
Program participation and satisfaction are subjective experiences. Refunds will not be issued based on personal preference once a program has begun.
Bank transfer or payment processing fees related to payment or refund transactions may be deducted from the refunded amount.
Refunds will only be issued to the original payer and to the bank account used for the original payment unless otherwise agreed by iForest.
7. Replacement Participants
Bookings may be transferred to another participant provided that:
- The new participant meets program eligibility requirements
- Registration requirements are completed
- Payment is confirmed
- The transfer is approved by iForest prior to the program start date
8. Changes or Cancellation by iForest
iForest reserves the right to modify, postpone, or cancel programs due to circumstances including:
- Severe weather or unsafe outdoor conditions
- Staff illness or emergency
- Government advisories or travel restrictions
- Insufficient enrollment
- Events beyond reasonable operational control
If iForest cancels a program for operational reasons unrelated to weather or safety, families may receive either a refund for the affected session or a credit toward a future iForest program.
If a session is cancelled due to weather or safety conditions determined by iForest, a credit may be issued toward a future iForest program.
9. Equipment Responsibility
Families are responsible for providing appropriate clothing and equipment suitable for outdoor and seasonal conditions.
Families may be responsible for the cost of lost or damaged equipment.
Program gear lists will be provided prior to the program start date.
10. Conduct and Program Fit
Participants must follow instructor guidance, safety procedures, and group expectations at all times.
Serious behavioral concerns may result in removal from the program. Any associated costs will be the responsibility of the family.
iForest reserves the right to decline or cancel participation before or during a program if it determines that the program is not an appropriate fit for a participant or family.
11. Photography and Media
Photographs and videos may be taken during iForest programs for documentation, communication with families, and promotional purposes.
Families who do not wish their child to appear in photographs or videos must notify iForest in writing before the program start date.
12. Program-Specific Policies
Seasonal School & skiForest
Payment must be completed within 7 days of booking and no later than 60 days before the program start date.
Cancellation policy:
- 45 days or more before the program: Full refund
- 44–30 days before the program: 50% refund
- 29 days or fewer before the program: No refund
artForest
artForest offers three participation options: single sessions, full-term enrollment, and ticket packages.
Single Sessions
• 15 days or more before the session: Full refund
• 14–7 days before the session: 50% refund
• 6 days or fewer before the session: No refund
Full-Term Enrollment
Full-term enrollment reserves a place for the entire program term. Term bookings are non-refundable and sessions cannot be transferred to another term. Missed sessions are not refundable.
Ticket Packages
Ticket packages allow flexible attendance within a designated program term. Tickets must be used within that term. Unused tickets expire at the end of the term and cannot be refunded or transferred to future terms.
Retreat Programs
Payment must be completed 30 days before the retreat start date.
Cancellation policy:
- 31 days or more before the retreat: Full refund
- 30–14 days before the retreat: 50% refund
- 13 days or fewer before the retreat: No refund
